Presentation Guidelines and Material Submission Instructions for Authors

The ICVRV 2025 conference will be held from December 19 to December 21, 2025. Detailed venue information is available on the official website under Hotel Reservation and Venue.

I. Presentation Material Formats and Preparation Guidelines

Please prepare your materials according to the presentation option you elected (Regular Presentation or Short Presentation (Poster)).

1. Regular Presentation (On-site or Online)

• Duration:
  Each presenter is allocated 15 minutes in total, including Q&A.
• Slide (PPT) Requirements:

The conference does not require a unified slide template. However, your slides must display the official conference logo. The logo file (PNG format) can be downloaded from here.

2. Short Presentation (Poster)

Authors are required to prepare a poster using the official template and provide a pre-recorded 8-minute presentation video. The conference provides a dedicated area for poster display. All posters will be displayed at the conference venue.

• Online Participation:

Your video will be played in the designated poster area during the conference.

• On-site Participation:

Specific time slots will be arranged in the conference program for authors to present and discuss their work with attendees.

Please confirm your participation mode and presentation format via the link sent previously to authors no later than December 5, 2025,

If no confirmation is received by the deadline, the Organizing Committee will assign the default option of On-site Regular Presentation.

II. Material Submission Guidelines

All presentation and poster materials must be submitted via the ICVRV conference website. Please follow the steps below:

1. Log in to your ICVRV account and enter “Dashboard”.
2. Click “My Submission” and locate your accepted paper.
3. Click the “Edit” button to enter the material submission page.
4. Upload the corresponding files in the appropriate section:

Select the PPT/ poster/video module based on your presentation type, package the materials that need to be uploaded and then upload them.

1. After verifying that all files are correct, click “Save” to complete the submission.

Important Notes:

• The submission deadline for all materials is December 12, 2025.
• Recommended file naming convention:
  Paper ID_Author Surname_PPT/Poster/Video.xxx(Example: 03_Sebastian_PPT.pptx)
