ICVRV 2025 Registration and Withdrawal Financial Policy

All registrations are considered final upon payment. Due to the fixed costs associated with conference organization and publication processing, the following policy applies to all accepted papers:

- Withdrawal after acceptance but before copyright submission
A refund may be issued upon written request from the corresponding author. An administrative fee of USD 300 (or equivalent) will be deducted to cover review and processing expenses.

- Withdrawal after copyright submission and/or PDF validation begins
The registration fee is non-refundable. The paper will be removed from the proceedings and all public lists upon written confirmation that all co-authors agree to withdraw.

- Withdrawal after inclusion in the proceedings production workflow
No withdrawal or refund can be accommodated. The organizing committee reserves the right to determine whether the paper remains in the proceedings due to publication schedule constraints.

- Attendance without proceedings inclusion
In cases where the paper is withdrawn but registration remains active, participants retain full access to the conference program and associated materials.

- Author responsibility
All withdrawal requests must explicitly confirm consent from all co-authors. Failure to comply may result in administrative hold on future submissions to ICVRV.
